Microsoft 365 for dental practices
Priority includes lifecycle management. This is what that sentence means.

Short answer: Microsoft 365 can support a HIPAA-conscious dental practice when it is licensed correctly, covered by Microsoft's BAA terms, and configured with MFA, conditional access, device management, retention and data-loss rules. Lifecycle management means someone owns licensing, onboarding and offboarding, configuration, and updates over time. It is included in CyberDental's Priority plan.
At a glance
| BAA | Covered under Microsoft's online services terms for eligible customers; confirm for your licensing |
| Common SMB plan | Microsoft 365 Business Premium (security and device management) |
| Must configure | MFA, conditional access, device compliance, retention, DLP, audit logging |
| Lifecycle management | Licensing, joiners/movers/leavers, policy upkeep, updates, review |
| CyberDental | Included on Priority and above |
Is Microsoft 365 suitable for a HIPAA-regulated dental practice?
It can be. Microsoft makes HIPAA-supporting commitments, including Business Associate terms, available to eligible customers under its online services agreements. But HIPAA compliance is not a property of a product; it is a result of how the tenant is configured and managed. A default Microsoft 365 setup with shared passwords and no MFA is not a safe place for PHI no matter whose logo is on it. Confirm the current BAA terms for your specific licensing and keep the documentation.
Which license should a dental practice use?
Many small practices choose a business plan that bundles security and device management, commonly Microsoft 365 Business Premium, because it adds identity protection, conditional access, device management and advanced threat protection beyond the basic plans. The right plan depends on size and needs; avoid mixing consumer or personal accounts into the practice's data.
What does a safe configuration include?
- MFA for everyone, enforced. See MFA for dental practices.
- Conditional access: block sign-ins from unexpected countries, require compliant devices for sensitive data, and block legacy authentication.
- Device management so lost or stolen devices can be wiped and unmanaged devices are kept away from PHI.
- Email protection: anti-phishing, safe links and attachments, auto-forward blocking. See Email and PHI in a dental practice.
- Data loss prevention for patterns like insurance IDs and SSNs.
- Retention and audit logging configured to match policy and support investigations.
- Admin separation: dedicated admin accounts, not daily-use mailboxes.
What does "lifecycle management" mean?
Microsoft 365 is not set-and-forget. Lifecycle management is the ongoing ownership of the tenant:
- Licensing: the right plans for the right people, with unused licenses reclaimed.
- Joiners, movers, leavers: new hires get accounts, correct access and MFA on day one; departing staff lose access the same day.
- Policy upkeep: security defaults and policies updated as Microsoft changes features.
- Updates: Office and Windows update rings managed consistently. See Patching without killing the sensors.
- Periodic review: access reviews, stale accounts, mailbox rules and sign-in anomalies.
CyberDental includes Microsoft 365 lifecycle management on the Priority plan and above. See Remote, Priority, Ultimate, Concierge.
What are common Microsoft 365 mistakes in dental offices?
- Shared mailboxes or logins used by several people.
- The owner-dentist's personal account used as global administrator.
- Former employees' accounts left active.
- OneDrive treated as a backup. See Cloud backup that is actually HIPAA-shaped.
- No audit of mailbox forwarding rules.
