Frequently Asked Questions

Quick answers about dental IT, HIPAA compliance, our plans, and getting started.

General
What is CyberDental?

CyberDental is Florida's first dental-exclusive Managed Service Provider (MSP). Founded in 2016, we provide AI-powered IT infrastructure management, cybersecurity, HIPAA compliance, and technical support exclusively to dental practices. We don't serve other industries — 100% of our focus is dental.

What makes CyberDental different from other IT providers?

Three things: we're dental-exclusive (we know Dentrix, Eaglesoft, Open Dental, and every major dental software), AI-first (our autonomous systems monitor and resolve issues before they impact your practice), and compliance-native (HIPAA is built into everything we do, not bolted on after the fact).

Where do you operate?

Our operational headquarters is in Hialeah, FL (South Florida). We actively serve practices across South Florida (Miami, Doral, Coral Gables, Broward), Central & West Florida (Tampa, St. Pete, Orlando, The Keys), and the Carolinas (NC & SC). Our corporate HQ is in Sheridan, Wyoming.

Services & Plans
What service plans do you offer?

We offer four tiers designed for different practice sizes and needs:

  • Remote — Remote monitoring, patch management, and helpdesk for practices that need reliable remote IT support.
  • Priority — Everything in Remote plus on-site support, network management, and priority response times.
  • Ultimate — Full-stack managed IT with advanced security, HIPAA compliance tools, and dedicated account management.
  • Concierge — White-glove service with a dedicated engineer, custom infrastructure design, and executive-level SLAs.

Visit our Services section for full plan details and pricing.

What dental software do you support?

We support all major dental practice management software, including:

  • Dentrix and Dentrix Ascend
  • Eaglesoft
  • Open Dental
  • Curve Dental
  • Carestream, Dexis, and other imaging systems
  • Weave, Lighthouse 360, and patient communication tools

If your practice uses it, we almost certainly support it. Our engineers are trained specifically on dental software ecosystems.

Do you handle hardware procurement and setup?

Yes. We've completed over 250 practice build-outs, including complete technology infrastructure design and installation — servers, workstations, network equipment, digital imaging systems, and cabling. We handle procurement, configuration, deployment, and ongoing management.

HIPAA & Compliance
What is HIPAA 2026 and how does it affect my practice?

The HIPAA 2026 Security Rule update introduces significant changes to cybersecurity requirements for dental practices. Key changes include mandatory encryption of all electronic Protected Health Information (ePHI) at rest and in transit, required multi-factor authentication (MFA), annual penetration testing, biannual vulnerability scanning, and 72-hour recovery validation after incidents.

Maximum penalties have increased to $2.1 million per violation category. If your practice isn't preparing now, you risk non-compliance and significant fines.

What HIPAA compliance packages do you offer?

We offer three HIPAA compliance tiers:

  • Shield — Foundational compliance: risk assessments, policy templates, encryption verification, and staff training.
  • Sentinel — Advanced compliance: continuous monitoring, vulnerability scanning, MFA enforcement, and incident response planning.
  • Fortress — Enterprise compliance: penetration testing, 72-hour recovery validation, dedicated compliance officer support, and audit-ready documentation.

Read our HIPAA Notice for more details or contact us for a compliance assessment.

Do you provide a Business Associate Agreement (BAA)?

Yes. As a managed IT provider that may access systems containing ePHI, CyberDental operates as a Business Associate under HIPAA. We execute BAAs with all contracted clients as a standard part of our onboarding process.

Getting Started
How does the onboarding process work?

Our onboarding follows a structured approach:

  • Discovery Call — We learn about your practice, current IT setup, pain points, and goals.
  • IT Assessment — A comprehensive audit of your existing infrastructure, network, security posture, and compliance gaps.
  • Proposal — A tailored plan with the recommended service tier, timeline, and investment.
  • Deployment — We deploy monitoring agents, configure security tools, document your environment, and onboard your team.
  • Ongoing Support — Continuous monitoring, maintenance, and helpdesk availability from day one.

Most practices are fully onboarded within 2–4 weeks depending on complexity.

Is there a contract or commitment?

Our managed service plans are typically structured as monthly agreements. Specific contract terms, minimum commitments, and cancellation policies are outlined in the individual service agreement provided during onboarding. Contact us for details on the plan you're interested in.

Support & Response
What are your support hours?

Standard support hours are Monday through Friday, 8AM to 6PM Eastern Time. Emergency and critical issue support is available 24/7 for clients on Priority, Ultimate, and Concierge plans. All plans include 24/7 automated monitoring — our systems never sleep, even if our humans do.

How fast do you respond to issues?

Response times vary by plan tier and issue severity. Critical issues (practice down, security breach) receive the fastest response across all plans. Our AI-powered monitoring often detects and begins remediating issues before your team even notices — in many cases, problems are resolved autonomously without a support ticket.

What if I have an emergency outside business hours?

Priority, Ultimate, and Concierge plans include after-hours emergency support. Critical alerts from our monitoring systems trigger automatic escalation regardless of the time. For true emergencies — practice-down situations, active security threats — our on-call team is available 24/7.
